Only one year to go before KSeF becomes mandatory – time to act

In less than a year, on 1 February 2026, the National e-Invoicing System (KSeF) will become mandatory for entrepreneurs whose annual turnover (including tax) exceeds PLN 200 million in 2025. For other taxpayers, the new regulations will come into force on 1 April 2026.
Practice shows, however, that the implementation of the KSeF requires careful preparation and planning. Companies that have already started the implementation process identify numerous challenges – from technical issues to accounting and tax procedures.
What needs to be done now?
- Identify and eliminate simplifications – When KSeF comes into force, many simplifications based on low risk of detection will automatically become apparent. This poses a risk not only for the future (because they will be visible), but also for the past (based on current practices, the authorities may deduce optimal audit paths for past periods).
- Train the team – those who issue invoices as well as tax and accounting specialists. KSeF is not only a technological change, but above all a procedural one, so it is crucial to understand the new rules.
- Update your knowledge of invoicing – changes in recent years have brought new obligations that may still raise questions. You may want to analyse how these have affected the way you document transactions.
- Conduct a VAT review – check what types of transactions the business carries out, what procedures are in place and whether they comply with KSeF and VAT requirements.
- Make employees aware of the sanctions – failure to comply with the new rules can result in severe penalties. It is important to ensure that employees are fully aware of the consequences of incorrect system implementation and inappropriate invoicing processes.
Why act now?
Implementing KSeF is not just a technical change to the invoicing system – it’s a change that affects the entire accounting process, including issues as trivial as no control of the invoice date or no ability to change the invoice date in Excel.
The earlier the company starts preparations, the greater the chance of avoiding operational problems and potential tax risks. Adequate training and analysis of processes can greatly facilitate adaptation to the new legislation.
